Form I-9 (Employment Eligibility Verification) 

What is the Form I-9?

In accordance with the Immigration Reform and Control Act of 1986 (IRCA), Iowa State University must verify the identity and employment authorization of each employee or student hired for stipend using the Form I-9 within the first three days of hire / start date, for all student and non-student employees hired after November 6, 1986, whether U.S. Citizens or not. It is important for the University to be in full compliance with the federal law by verifying the eligibility of every faculty or staff member as well as student workers.

How to complete the Form I-9 at Iowa State University?

The University uses the online version of Form I-9 in collaboration with E-Verify, within the Workday platform. 

Timeline:

  • Employee, or student hired for stipend, submits Form I-9 Section 1 in Workday no later than the first day of employment.
  • Employee, or student hired for stipend, presents identity and employment authorization documents within 3 business days of the start of employment.

Locations:

  • U.S. citizens and U.S. permanent residents (i.e., green card holders) complete the Form I-9 process with the University Human Resources Service Center located within 3810 Beardshear Hall, 515 Morrill Rd., Ames, IA 50011. 
  • International students (e.g. F-1 or J-1 immigration statuses) and international scholars (e.g., J-1, J-2, H-1B, TN, O-1 immigration statuses) complete the Form I-9 process with the International Students and Scholars Office (ISSO) located at 4530 Memorial Union, 2229 Lincoln Way, Ames, IA 50014. 

Documents:

Employee, or student hired for stipend, must present original, unexpired documents that establish:

  • Identity (List A or B documents), and
  • Employment authorization in the U.S. (List C documents)

UHR Service Center | In-Person Processing, walk-in only:

You must complete Form I-9 Section 1 (Employment Eligibility Verification) on or before your first day of work for pay.

Within three business days of your start / hire date, you must present original, unexpired identification documents to the UHR Service Center in 3810 Beardshear Hall to successfully complete the Form I-9 Section 2, identity and employment eligibility verification process. 

Please bring documents that establish (a) identity, and (b) employment authorization, for form I-9 processing. Photo copies, scans or faxes of identification documents are unable to be accepted in accordance with the federal regulation.

International Students and Scholars Office (ISSO) | Form I-9 Appointment:

You must complete Form I-9 Section 1 (Employment Eligibility Verification) on or before your first day of work for pay.

Within three business days of your start / hire date, you must present original, unexpired identification documents to the ISSO in Room 4530 Memorial Union to successfully complete the Form I-9 Section 2, identity and employment eligibility verification process. 

Please bring original documents which prove: (a) identity suitable for international travel, and (b) employment authorization. You will also need the dates of any prior visits to the United States, and the immigration status you held for those visits.

Option 1. In-Person Processing, walk-in only: Within three business days of your start / hire date, you must present original, unexpired identification documents to the UHR Service Center in 3810 Beardshear Hall to successfully complete the Form I-9 Section 2, identity and employment eligibility verification process.

Option 2. Remote (Virtual) Processing, appointment required: The remote (virtual) verification process is available upon request for non-student workers, those working off-campus at a satellite / ancillary location, or those in a fully-remote position.

IMPORTANT: Please be aware that the remote (virtual) process requires presenting original identification documents via live video for verification. In addition, the chosen document(s) must be scanned or photographed and submitted prior to the appointment using a secure Cybox drop box folder and present the same document(s) during the live video interaction.
